DEM TTC Appeal Process: November 15-December 3
As a result of the Title and Total Compensation (TTC) Project, all UW–Madison academic staff, university staff, and limited appointees received updated job titles and new position descriptions on November 7, 2021. You should’ve received a notification letter that confirms your job title, proposed business title, exemption status (e.g. non-exempt/hourly or exempt/salaried), and salary range from Paula Gates on November 1st. If you did not receive a letter, please contact Paula.
Team leads conducted a review of all titling options, and confirmed assigned positions were appropriate at the time of assignment. We are committed to ensure team members have appropriate Standard Job Descriptions (SJDs) that most closely match their job duties and team member’s ability to appeal the assignment. Below is an overview of the appeal process.
We understand that moving to a new titling system is a significant change for our university and this change is impacting team members in different ways. We are available for support and guidance during this transition. If you have any questions or concerns, please reach out to Ann, Paula or Jeremy.
DEM Appeal Process
DEM Administration has the ability to resolve TTC concerns before escalating requests into the formal TTC appeal process. This DEM-led resolution period is November 15th to December 3rd with decisions communicated by December 10th. We highly encourage anyone with a TTC concern to review the options below.
Here are the steps for the DEM Appeal Process:
- #1: Team member discusses concerns and a proposed solution with team lead.
- #2: Team lead and team member share concerns and proposed solutions with unit director or designee [Scott/Nancy/Helen].
- If they come to an agreement on a proposed solution, unit director or designee will submit the request* to Ann/Paula/Jeremy for review.
- If they are not in agreement, a unit director or designee should share rationale for not supporting the appeal. The team member can still submit the request* to Ann/Paula/Jeremy for review.
- #3: Ann/Paula/Jeremy will review the request*.
- Requests will be reviewed and decisions communicated no later than December 10th.
- If Ann/Paula/Jeremy agree the request is appropriate, they will provide confirmation of the change. The appeal process is complete.
- If Ann/Paula/Jeremy are not in agreement, they will share rationale for not supporting the appeal. The team member can still submit the request following the formal TTC appeal process. This is “Step 2” and requires a formal appeal application to be submitted on or before December 31, 2021.
- Your new official job title if the SJD does not match your current duties AND another SJD matches your duties more closely.
- Your business title if it is not appropriate for your role. [Note: This is out of scope for the formal TTC appeal process and must occur internally within DEM.]
- The salary grade assigned to your official title
- The salary range assigned to your official title
- Your salary as a result of TTC Project implementation
- The title assigned to the SJD
- The language included in the SJD
- Your exempt or nonexempt status under the Fair Labor Standards Act (FLSA)
