DEM Laptop Pool

Hello DEM Colleagues – All units within DEM currently have a need to use laptops for training or outreach events. In an effort to provide modern and properly supported equipment, in a cost-effective approach, the DEM Desktop Support Team (Jeremy-OVPEM, Cori-OSFA, Cameron-Admissions, Angie-RO and DoIT staff) have decided to consolidate resources at the divisional level and purchase a pool of communal laptops. These laptops will replace the aging SIS Training laptops and some laptops Financial Aid uses for events. This will also reduce the need for units to rent laptops. • DEM Laptop Pool Calendar (dem_laptop_pool_calendar@em.wisc.edu) – all DEM staff can view this calendar in Outlook; however, only each area’s leads have the ability to reserve the laptop pool. Please work with Jeremy, Cori, Cameron or Angie to discuss your training or event needs. o When scheduling a reservation, extra time will be added for set up and take down. o Reservations must include: name of the event, name of the DEM staff member who will be responsible for the laptops, location of event, cell phone number of DEM staff member if laptops leave 333 ECM. o All 15 laptops must be reserved at once. These are not meant to be used as back-up computers. o Training and event spaces are reserved separately. o DoIT DSST will power on laptops weekly to ensure that the latest updates are installed. This will be reflected on the calendar as well. • Storage – laptops will be stored in the OSFA/9th Floor space. o Area leads and frequent users will have access. If you are using them infrequently, you can stop by the OSFA front desk on the 9th floor and ask for Cori or Erica to get you the laptops. o They will be stored on a laptop cart with a lock (ask your lead for the combination). When laptops are stored, please make sure they are plugged in. If you step away from the cart, please lock it. o Wireless mice and extra chargers are stored in the cart as well. • Laptop Use – a sticker with the laptop’s username and password will be on the laptop. o All temporary files (desktop and downloads) will be automatically deleted/wiped after a user logs off. o No drives will be mapped to sensitive data or any DEM drives. • General Practice – please care for this shared resource by limiting food and beverages around them and ensuring that they are inventoried at the start and finish of each training. The laptop pool will be available for use starting on Monday, March 25th. Please let your area lead know if you have any questions. Thank you. Jeremy, Cori, Cameron and Angie DEM Desktop Support Team
