Reminder of Changes to the SFS Expense Reimbursement System

Did you miss any of the updates about changes to the SFS Expense Reimbursement System over the past couple of months? No problem! Here is a complete list of changes that currently effective:
  1. Tuition/Training Career and Training/Dev-Job expense types will no longer be flagged as over 90 days.  This is due to payment is made at beginning of semester and reimbursement is not allowed until completion of class.
  2. Expense reports that were sent back and NOT resubmitted within 90 days of the most recent send back date will be flagged as over 90 days and need an exception.  This is due to a new policy change that went in on July 1st.
  3. Travelers, alternates and approvers can now change the Expense Type if the expense was pulled from the wallet of the traveler.  Previously they had to delete the line and manually add it if the expense type is incorrect on the Wallet item.
  4. Airline ticket numbers cannot have a dash.  Traveler/Alternate will receive an error stating the dash needs to be removed.  This is due to Travel Inc. invoices show a dash but the Purchasing Card data does not so we cannot catch duplicates between an expense report and purchasing card if the dash is on the expense report.
  5. Weekly starting on Monday, November 30th a process will run that will close older pending expense reports.  These will be reports that were never submitted or submitted and sent back.  The criteria is based on 120 days or more after the end of trip or expense date on reports never submitted or 120 days or more from the last send back date.   The traveler and alternates already receive weekly reminders to get these reports submitted or delete them.
  6. Once a week a process will run that will remove terminated alternates from all travelers profiles if they were terminated over 60 days ago.
  7. Meals will now be displayed in the Wallet of the traveler.  When imported into an expense report the traveler or alternate must change the expense type from Meals and Incidentals (most cases they will change it to Meals Hosted).  They will not be able to submit the expense report if they leave the expense type at Meals and Incidentals.  One note:  When you change the expense type unfortunately the Reimbursement Method (US Bank Corporate Card) is displayed in red until either the Save or Review and Submit button are selected at the top of the report.
  8. Added the Delegate Entry Authority (assign an alternate) tile under the Expenses Tile on the Homepage (see screen shot below).  It is also still available under the Expense WorkCenter tile.
