University Staff Leave Schedule to Change Starting January 2025
University Staff team members received an email from Universities of Wisconsin on October 7, 2024 that beginning January 1, 2025 they will transition to receive vacation and personal holiday hours on the fiscal year rather than the calendar year. Current Leave Schedule: January 1, 2024 – December 31, 2024
Vacation hours granted in calendar year 2023, and personal holiday and legal holiday earned in 2024 must be used by December 31, 2024. This deadline is consistent with previous years.
If eligible, carried-over vacation hours granted in calendar year 2023 can be paid out or banked by submitting the request between December 1–December 31, 2024.
Transition Period: January 1, 2025 – June 30, 2025
- Vacation: You will receive half of your accrued vacation. Unused hours will carry over and must be used by June 30, 2026.
- If eligible, the deadline to bank vacation or request a cash payout is between July 1, 2025 – September 30, 2025.
- Personal Holidays: You will receive 18 hours of personal holiday (pro-rated if part-time) to be used by June 30, 2025, or they will be lost.
- Legal Holidays: New Year’s Day, Martin Luther King Day, and Memorial Day will be observed during this time. For employees required to work on legal holidays, a floating holiday will be granted. If leave is not used by June 30, 2025, they will be lost.
- Vacation: You will receive your full accrual of vacation hours. Unused hours will carry over and must be used by June 30, 2027.
- If eligible, the deadline to bank vacation or request a cash payout is between July 1, 2026 – September 30, 2026.
- Personal Holiday: You will be granted 36 hours of personal holiday (pro-rated if part-time) to be used by June 30, 2026, or they will be lost.
- Legal Holidays: You will be granted nine legal holidays to be used by June 30, 2026, or they will be lost.
