New page highlights FERPA-approved productivity tools

Have you ever wondered whether you could use a certain tool with student record data? Well wonder no more: A new webpage makes it easy to quickly determine what tools you can and can’t use with data protected by the Family Educational Rights and Privacy Act of 1974 (FERPA). The FERPA-Approved Productivity Tools page launched this month on the RO’s website, the result of a collaboration between the RO; the OVPEM; DoIT; DAPIR; and the Office of Compliance.

What’s included

This new page lists campus-provided tools that have been vetted for use with student education records – such as Google Drive, Microsoft Office 365, Zoom, and Box (without AI features) – and those in which using said records is prohibited – such as social media and flash drives. It also lists tools that may require risk review by the Office of Compliance before they can be used with student records. In addition, it lets campus users know what they should do before working with data that may be protected by FERPA.

Other resources

The new page complements a variety of FERPA resources the RO created or refreshed in 2025, including a page about responsibly using FERPA-protected data with artificial intelligence (AI) tools.
