Expense Module Updates
Below are the changes to the SFS Expense Module that were implemented on Tuesday, October 27th. if you have any questions, please reach out to Kelly Layton.
1. Tuition/Training Career and Training/Dev‐Job expense types will no longer be flagged as over 90 days. This is due to payment is made at beginning of semester and reimbursement is not allowed until completion of class. Per policy, these expenses need to be submitted within 90 days of completing the course. These were almost always incorrectly flagged in e‐Reimbursement, so the flag has been removed. These are still audited on the back end and any report submitted more than 90 days after the course end‐date is subject to tax reporting.
2. Expense reports that were sent back and NOT resubmitted within 90 days of the most recent send back date will be flagged as over 90 days and need an exception. This is due to a new policy change that went in on July 1st. This policy has been enforced since September 30. There was a grace period from July 1 through September 30 to allow people to re‐submit old expense reports. That grace period has ended, now you’ll see a flag in e‐Reimbursement for reports which were not re‐submitted within 90 days of send back.
3. Travelers, alternates and approvers can now change the Expense Type if the expense was pulled from the wallet of the traveler. Currently they have to delete the line and manually add it if the expense type is incorrect on the Wallet item. Previously, travelers had to go into the My Wallet or the Add Quick Expense tiles to change the expense type for a Corporate Card expense. They can now make that change directly in the expense report.
