Annual Banked Leave Conversion Information (for those who are eligible)

You may be eligible to bank unused Vacation/Carryover Vacation into a Paid Leave Bank (formerly known as ALRA) or to receive cash payouts (for eligible University Staff only). Banking of leave hours comes from the team member’s Vacation Carryover or Vacation balances on June 30, 2025.   More information can be found in the UW–Madison Vacation policy.   How to Bank Leave and/or Request Vacation Payout:  
  1. Please go to your Workday homepage and click on the “right arrow” in the Announcements worklet.
  1. Click on your “Complete Banked Leave Election” in the Announcements worklet and scroll down to select “Banked Leave Election Site.” Please follow these KB instructions: Entering Banked Leave Election – Employee.
  Eligibility Information Academic Staff and Limited Term Employee Eligibility for Banked Leave (formerly ALRA): Faculty, Academic Staff and Limited employees with a 12-month appointment are eligible to bank unused Vacation and Vacation Carryover into their Paid Leave Bank (formerly known as ALRA) if they have completed 10+ years continuous service or more or 120 months in service by June 30, 2025.  
  • Team members become eligible to bank up to 40 hours beginning with the 10th fiscal year of continuous service
  • Team members become eligible to bank up to 80 hours beginning with the 25th fiscal year of continuous service
  University Staff Exempt Eligibility for Banked Leave and/or a Cash Payout: University Staff Exempt employees are eligible to bank unused Vacation and Vacation Carryover into their Paid Leave Bank and/or receive a vacation cash payout based on years of continuous service, appointment percentage and FLSA (Fair Labor Standards Act) status. If a team member’s anniversary date falls in the middle of the year, the employee is eligible to either bank and/or receive a cash payout, prorated for the fiscal year (July 1-June 30).   Deadlines:
  • Banked leave conversion entries for fiscal year 2025 should be entered between now and October 31, 2025. Hours elected to be banked will first be deducted from Vacation Carryover balances. Please note that OHR does not process banked leave after the deadline.
